POLICIES
Tutoring policies.
Working business policies, to be reviewed before final publication.
Cancellation and Rescheduling
We ask families to provide at least 24 hours’ notice when cancelling or requesting to reschedule a tutoring session. Sessions cancelled with less than 24 hours’ notice may be charged at the full session rate, subject to exceptional circumstances. Rescheduling is subject to tutor availability and must be coordinated with the tutor or Pacific Scholars.
Student Late Arrival
Students are encouraged to arrive on time and prepared for their scheduled session. If a student arrives late, the tutor will make a reasonable effort to provide the full instructional duration. However, tutors may have consecutive appointments or other commitments that prevent extending the session. A student’s late arrival does not automatically extend the scheduled end time or reduce the session charge.
Tutor Late Arrival
If a tutor arrives late, the student is still entitled to the full amount of instructional time purchased. The tutor will extend the session when possible or arrange to make up the missed instructional time at a mutually agreed-upon time.
Payment Policy
Pacific Scholars bills families on a biweekly basis. Invoices are sent every two weeks and reflect tutoring sessions completed during the applicable billing period. Payment instructions and due dates will be included on each invoice. Families are responsible for paying invoices by the stated due date. Outstanding balances should be resolved before additional sessions are scheduled. Pacific Scholars reserves the right to pause future tutoring services for unpaid invoices.
Missed Sessions and No-Shows
If a student fails to attend a scheduled tutoring session without prior notice, the session will be charged at the full scheduled rate.
Communication
Parents and students may contact Roxanne Rahimi regarding scheduling, billing, general questions, and concerns about their tutoring experience. Communication with individual tutors may also be arranged on a case-by-case basis, particularly for academic questions, homework clarification, and matters relating to instruction. Students are encouraged to ask questions when they encounter difficulty rather than waiting until their next tutoring session. Responses outside scheduled sessions depend on tutor availability.
Student Expectations
Students should arrive prepared with relevant course materials, notes, assignments, and any recommended tutoring materials. Students are encouraged to complete assigned practice between sessions and show their work, even when they cannot solve a problem completely. An incorrect but thoughtful attempt is more useful than leaving a problem entirely blank because it allows the tutor to identify misunderstandings and address them.
